RowanFlow is developed hand in hand with a practicing chiropractor and runs in a real clinic every morning, so the list below is driven by what actually helps a practice - not a roadmap deck. Here’s what’s landed lately.

    Print for our office in one click

    Print on a patient's SOAP notes tab now prints the office's own copy right away, and saves a copy of exactly what printed under Documents. To print for the patient or anyone else, use Send.

    Free-form notes print and send with the rest

    Signed free-form SOAP notes can be ticked on the chart like any other note, and print in the same letter format. Packets by dates or case include them too.

    Print or send SOAP notes from the chart

    On a patient's SOAP notes tab, tick the visits you want, or fill in the dates to tick every signed visit between them, then Print or Send. Uploaded files have checkboxes too, with Send selected. Print sits beside Download in the Send window, and a copy of exactly what printed is kept on the chart.

    A payer claim number on a paper EOB

    Each claim on a paper EOB takes the payer's claim number (the claim number, ICN or DCN), and a remittance missing one has Add payer claim number. A denied claim from a paper EOB can then go back as a replacement.

    Apply part of a held payment

    Apply on the Held payments card now starts at what the invoice owes and takes any amount up to what's held. The rest stays held for a later visit.

    Refund part of a card payment to the card

    When one card payment was split across several visits, each piece refunds back to the card through Stripe. A piece can't be edited or deleted as if it were cash; hold it or refund it instead.

    The claim review shows what the payer will receive

    Before Send claim, What will be sent lays out the claim field by field, exactly as it will go, including the dependent and the policyholder. A replacement that's missing the payer's claim number is stopped there, with where to add it.

    Claims for a dependent name the policyholder

    When a patient is on a parent's or spouse's plan, untick The patient is the policyholder on their policy and enter the policyholder's details. Claims, the printed CMS-1500 and status checks then name the policyholder, and a claim missing them waits until they're in.

    Close a partly denied claim in one step

    When the payer denied part of a claim and set a patient share, Write off denied, bill patient does both on the Denial Desk. Closing a claim with dollars the payer is still reviewing asks before writing them off.

    Pick the provider on an unsigned note

    A note started under the wrong provider can be changed with the Provider picker under its date, until it's signed. Admins and doctors can change it.

  • Payments

    Charge the card on file before the visit is billed

    At checkout, Collect payment can charge the card on file even before the visit has an invoice. The money waits and is applied when you generate the invoice.

  • Schedule

    No-show and late-cancel fees

    Set a no-show fee and a late-cancel fee in Scheduling settings. Mark a no-show, or open a visit cancelled inside your window, and Add fee puts it on the patient's balance on its own invoice, never on an insurance claim; the Charge button for the card on file collects it. Patients cancelling online inside the window see the fee first.

    Undo a refund

    A cash, check or other refund recorded by mistake can be undone with Undo refund on the payment, and the payment counts again. A refund already sent back to a card can't be undone.

  • Schedule

    Print the day's schedule

    On the Schedule's daily view, Print opens that day on paper: one sheet per provider with time, patient, phone and visit, and a box to tick as each patient arrives.

  • Reports

    Re-exams due, for the whole practice

    Reports, Re-exams due lists every open case due or coming due for a re-exam, with why and each patient's next visit. This week shows the visits to book as re-exams; All due adds the patients to call. The chart's re-exam note now counts days since the last exam too, the same rhythm the note uses.

  • Search

    Search understands how you talk

    Search (Ctrl+K) now finds pages from the words PTs, chiropractors and front desks actually use: abbreviations like VOB, PN, ROF and EOB, plurals, common misspellings, codes like 98941 or CO-45, and full questions like "how do I take a payment". Everyday tasks inside a page, like checking a patient in or saving a card on file, have their own results. When nothing matches, one click asks Help.

    See who hasn't done their intake

    Intake forms, Not received lists new patients with a first visit booked and no intake form yet, soonest first, with when the link was last sent. Send intake link is right on each row.

  • Portal

    Patients show you where it hurts

    Before a visit, patients tap where they feel it on a body chart in their portal, with how it feels and how strong. A new visit note's body chart starts with their marks, labeled as theirs, for you to edit. Turn it off in Patient Portal Access.

  • Patients

    Overpaid and held money, each in its own list

    Patients, Filters has two money lists, each with the amount: Overpaid shows everyone whose visits were paid more than they cost, and Held payments shows money received and waiting to be applied to a visit. Refund it or apply it from the chart's Payments.

  • Setup

    Fold the Getting started card

    The arrow by the Getting started count folds the card to one line with your progress. It stays folded on every page, and still goes away once setup is done.

  • Compliance

    A shorter Compliance menu

    Compliance is three rows now. Audit log stays as it was. Patient privacy holds amendment requests, disclosures and send incidents, and HIPAA program holds the calendar, drills, written policies, risk assessment and documents, as tabs across the top of each page.

    "May be the same person" on the chart

    When two charts look alike (the same email, phone or name), each one says so under the patient's name. An admin can Review and merge them, or mark them Not the same person. A new chart made by an online booking is flagged in the booking alert too.

  • Clinical

    Medication names and doses suggested as you type

    Adding a medication or allergy on the chart, on the intake form or in the portal suggests names as you type, and a medication offers its strengths to tap. Rows that came from the patient are marked Reported by patient.

    Patients keep their medications and allergies up to date

    Patients see their medications and allergies in the portal, add new ones and say what changed, then send them to you all at once. You confirm each update on the chart, and anyone who wants one gets an email when an update comes in.

    Your portal on your patients' home screens

    Your sign-in page shows patients how to add the portal to their phone's home screen, on iPhone and Android, and invite and welcome emails link to the steps. Upload the icon they'll see as your Phone icon, under the public site editor's Theme.

    Invoices to review

    Invoices that are overpaid, or marked paid but short, gather in a Needs review card on Invoices. Anyone who can view billing also gets an Invoices to review card on the Dashboard, under Financial.

    Medications and allergies on the chart

    The chart's Overview has a Medications & allergies card: add, edit or mark a medication stopped, record no known allergies, and add what a patient listed on their intake form with one review.

  • Payments

    Hold a payment instead of deleting it

    Deleting a payment on an invoice now asks whether it was entered by mistake or just sits on the wrong visit. Hold it and it waits in Held payments, all or part, to apply to the right one.

    A light sidebar, if you prefer

    Click your name at the top right and set Sidebar to Light or Dark. It's your own choice and doesn't change anyone else's.

  • Automation

    Recall by text

    Turn it on and patients who haven't been back in a while, with nothing booked, get one short text with your booking link or phone number. It only goes to patients who agreed to texts in writing, and the message never mentions their care.

    Copays and cash patients, side by side

    The Payments collected card on Billing & payments splits what patients paid into Copays, from patients with insurance, and Cash patients, from those paying without it, beside Insurance. Click any figure to see its payments.

  • Reports

    The Daysheet keeps insurance on its own line

    The Daysheet's close shows patient payments by method, so card and cash tie to the terminal and the drawer. Insurance posted that day shows on its own line, with the total collected beside it.

  • Send

    Mail up to 50 pages, with the price shown first

    Mailed documents can now run to 50 pages, twice the old limit, so a full case packet fits. Before you send, the review shows what mailing it costs.

  • Portal

    Patients with Gmail can set up the portal with Google

    When a portal invite goes to a Gmail address, the setup page now offers Continue with Google beside picking a password, so there's no password to make up. They can add one later with Forgot password.

  • Reports

    Key numbers for owners

    Practice Metrics now opens with the numbers owners watch: units per visit, visits per finished case, how full the schedule was, how many visits were rebooked, and the patient visit average, each compared with the period before. They're for the whole practice, never per person.

    Bill-by dates on injury cases

    In New York, Florida and Michigan, auto and workers' comp cases now show when each visit's bill must reach the carrier: 45 days for New York no-fault, 35 for Florida PIP, 90 for Michigan no-fault, and longer for workers' comp. A visit counts as sent once its claim goes out from here; Mark sent covers bills sent another way.

    Case deadlines for New York, Florida, Michigan and Pennsylvania

    Auto and workers' comp cases now show your state's notice and report deadlines: New York's notice of claim and workers' comp reports, Florida's 14-day first visit, treatment notice and 24-visit chiropractic limit, Michigan's one-year notice, and Pennsylvania's monthly LIBC-9. Mark each one sent from the case.

  • Care plans

    Price a care plan: pay in full or per visit

    For a patient paying without insurance, Set a price on their plan: what each visit includes, the price of a visit and a pay-in-full discount. They pay it in full up front, and the prepaid credit pays each plan visit as it's billed (with Undo), or pay as they go.

    Pay a care plan monthly by card

    With Payment plans on, a priced care plan can be paid monthly by card: Monthly by card on the plan, then Set up monthly payments. Nothing is charged that day; each month the visits that happened are charged.

    Send a failed fax again, or mark it resolved

    A failed appeal fax shows the carrier's reason on its denial, with Send again. In Sent items, Mark resolved clears a failed send that went out another way, and one sent again resolves itself.

    Send the care plan agreement to sign

    No time to sign it at the visit? Send it instead. The patient gets a secure link by email, and it waits in their portal too, to read and sign from home. The plan card shows when you sent it, and the signed copy goes to their chart.

    At the report of findings, open the agreement on the patient's care plan: what you found, the plan, what it costs and your financial policy, on one page they sign on your screen. The signed copy goes to their chart. Set your policy on the Care plans page.

    Plan visits bill at the plan price

    A care plan priced below your usual fees now bills each plan visit at the plan's price, however the patient pays. The bill shows your usual fees, then the care plan price, so the patient sees exactly what their plan promised.

    Add the claim right on the case

    On an auto or workers' comp case, pick the carrier from your list and type the claim number, policy number and adjuster without leaving the case. It saves to the patient's Insurance tab, and you add each carrier only once.

    Good Faith Estimates at the care plan's price

    A new estimate for a patient on a priced care plan opens with the plan's services at what each plan visit is billed, so the estimate and the plan say the same thing.

    Send the 21-day notice in one click

    On a New Jersey auto case, Send notice fills in the state's notice of treatment form from the case and sends it to the carrier. When the fax is delivered, the case records the day and the deadline turns green.

    A flag when charges run over an estimate

    A Good Faith Estimate on the chart now shows what's been charged against it. At $400 or more over, the chart and the day view flag it, since the patient can dispute that bill. You see it first.

    A Cases tab in Billing & payments

    Every open auto, workers' comp and personal injury case in one list: who's working it, the last packet sent, what was charged and what the carrier is expected to pay, and what's due next, like a New Jersey 21-day notice. Build packet opens the case's packet.

    Fee schedules by state for injury cases

    Some states cap what any carrier pays on a type of case. Under Fee schedules, enter your state's amounts for auto, workers' comp or personal injury cases, and a daily maximum per visit where the state sets one, as New Jersey does for auto care. The Cases tab's Expected column uses them.

    Injury forms open their case

    When an Auto Accident or Work-Related Injury form reaches a chart, it opens the case for that injury, dated and billing the carrier the patient gave, or fills in the open one. Your entries are never replaced.

    Case packets with a records checklist

    An auto, workers' comp or personal injury case has a Packet button. Pick the visits, ledger, claim forms, EOBs and chart files, and the checklist shows what's enclosed and what's missing before you send. It prints on the packet's first page.

    Complete records packets list what's enclosed

    A complete records packet now opens with the same checklist page as a case packet, so whoever receives it sees what's enclosed and what isn't. It shows in the preview before you send.

    Auto, workers' comp and personal injury cases

    A case can now be marked Auto accident, Workers' comp or Personal injury. It keeps its own adjuster, employer and attorney, with their fax and email, right on the case.

    The 21-day notice on New Jersey auto cases

    For practices in New Jersey, an auto case shows when the 21-day notice to the auto carrier is due, warns as the day gets close, and records the day you sent it. A late notice lets the carrier cut what it pays.

  • Billing

    Appeals go to the payer's appeals fax

    An insurance company can have its own Appeals contact (fax, address and phone), used only for appeals. A payer with an appeals fax and no regular fax can still get an appeal by fax.

  • Billing

    Payments pay down what's owed

    Taking a payment from the patient list or the chart now pays the patient's open bills, oldest first, and holds anything extra as credit for the next bill. It no longer adds a separate bill for the payment itself.

  • Intake

    A "paying cash" box on intake forms

    The insurance step of the New Patient and Physical Therapy forms starts with "I'm paying cash (no insurance)". Checking it skips the rest of the step, so cash patients move straight on and no half-filled insurance comes through. You can add the same box to any form in the form builder.

    Insurance card and ID photos on intake forms

    Patients can photograph the front and back of their insurance card and photo ID right on the online intake form. The photos arrive with the form and fill the chart's empty card slots when it's linked, so fewer cards need scanning at the front desk.

    Good Faith Estimate notice and reminder

    Your website shows patients their right to a Good Faith Estimate, and Site settings prints the office copy. A patient paying without insurance whose visit no estimate covers is marked Estimate needed on the day view and the chart.

    Good Faith Estimates

    Give patients paying without insurance their estimate in a few clicks. It opens filled in from the treatment plan, the diagnoses and your fees, carries the wording the law requires, and is kept in the chart as issued.

    Check insurance overnight

    Turn it on and each night insurance is checked for the next day's patients, so the day view shows Covered, or Check coverage, before they arrive. You choose how often each patient is checked. Each check counts toward your monthly eligibility allowance, and the switch shows what it would cost.

    Treatment plans in phases, and plan templates

    Write a plan the way you give it: relief care 3x a week, then corrective care 2x a week, then wellness. The chart and the patient's portal show which phase they're in, and a template starts a plan in one click.

    Write a website page with AI

    Describe a page and AI writes a first draft from your practice's own details, pointing out any claim worth a second look. It's saved as a draft for you to edit, add photos and publish.

    Patients can read their visit notes

    Turn on Show treatment notes and your patients get a Visit notes page: their signed notes, exactly as signed, with any addenda. It's off until you turn it on.

    See what posted itself this week

    With auto-posting on, the dashboard's Remittances card shows how many claims posted themselves this week and their total. A post you undo stays undone.

  • Patient portal

    The Google sign-in switch works

    Turning off Google sign-in hides the Google button from patients on your sign-in page, homepage and site menu. It starts on for every practice, and staff can always use Google.

  • Schedule

    Patients confirm by text or email

    Turn on Patient confirmations and a reminder for a pending visit asks the patient to confirm. They reply C or YES to the text, or click Confirm in the email, and the visit shows Confirmed on your dashboard.

  • Schedule

    A column for each provider on the day view

    With two or more providers, the day view shows each one's visits in their own column; click an empty slot to book with that provider. One column is a click away. Early and late visits now always show, on the day and week views.

    Insurance payments can post themselves

    An admin can switch on Post new remittances automatically. Each hour, remittances that arrive after that post the way Approve all matched does. Denials, unmatched lines and payers you mark out of network still wait for you.

  • Patient portal

    Patients can ask for a home exercise program

    A patient with no exercises who was seen in the last 30 days (change that in Patient portal settings) can ask for a program from the portal home and say which area it's for. It reaches you as their message, or as a task for their provider when messaging is off.

    A plan-year visit counter on each insurance card

    Each policy on a patient's Insurance tab shows how many visits were billed to it this plan year, split chiro and PT when both were billed. If the plan year doesn't start in January, set its month with Change.

    Close a claim that never comes back

    When a payer says it forwarded a claim and you never hear back, close it from the Denial Desk: the patient is billed their share from the plan on file (copay, deductible or coinsurance) and the rest is written off.

    Phone-only booking shows your open times

    Turn off Allow online booking and patients can't book in the portal. The portal home gives them your number to call, and the Appointments tab still shows each day's open times.

    A simpler patient portal home

    The portal home's cards are its buttons now, with a Message the office row, and its icons are line drawings in your practice's color. The balance turns amber only when something is owed.

    Underpayments checks what each payer usually pays

    Where you haven't entered a contracted rate, Underpayments now learns what each payer usually pays for a code from your remittances and flags a payment that comes in 10% or more under it.

    See where the payer says a claim belongs

    When a payer forwards a claim or says another plan pays first, the remittance and the Denial Desk show that plan's name and payer ID, straight from the payer's own remittance.

    Change the write-off before you post a remittance

    Change amount on a remittance's approve card posts a different write-off, up to the plan's discount. When the payer's write-off doesn't fit the visit's balance, the card offers the amount that does.

    Remittances know every reason code

    Remittances now recognize every adjustment reason code payers use. A code that means another plan should pay, like B11, sends the claim to the Denial Desk, and a code RowanFlow can't decide on its own waits for you instead of being written off.

    Add another office yourself

    Add a location in Settings and, once you see the new total and confirm, it goes on your subscription: $19, $49 or $89 a month depending on your plan, or yearly at your plan's discount. Archive one and your bill drops, with a prorated credit.

    An Unsubscribe link on every marketing email

    Campaign, birthday and recall emails now end with your practice's address and an Unsubscribe link, and mail apps that support it show their own Unsubscribe button. A patient who unsubscribes stops getting marketing; reminders and receipts keep coming.

    The portal's Exercises tab is on for new practices

    Patients with exercises prescribed see them, and their streak, in the portal from day one. If your practice has the tab off, the chart's Exercises tab says so, with a button to turn it on.

    SOAP notes tells admins when AI drafting is off

    AI drafting drafts a note from the findings you pick, turns a dictated visit into a SOAP note, and reads spoken exam findings into the structured note. It's off until you turn it on, and now the notes pages say where.

    Turning the patient portal off now works

    With Enable patient portal off in Patient portal settings, patients are sent to your website and can't sign in. Staff and admins sign in as before.

    SOAP notes has two tabs: Visits and SOAP notes

    Visits shows the visits still missing a note or services. SOAP notes lists every note in one place, structured and free-form, with Drafts, Signed and Needs co-sign filters. Templates, lists and note settings moved under Setup.

    When a patient has done their home exercises 2 days in a row or more, the day view's visit list shows it beside their name, so you can praise it at the visit.

    Exercise streaks your patients can see

    When a patient ticks off their last home exercise for the day, the portal celebrates the streak, with bigger moments at 3 days, each week and 30 days. Their exercise page shows this week's days, and the portal home shows the streak.

    A compact Patients list on your phone

    On a phone each patient is one name and one visit line. Tap the name to open the row: Pay, Book, the chart and More appear with the patient's summary.

    Compliance is for admins; the phone menu stays on a chart

    The Compliance section (audit log, amendment requests, disclosures, send incidents, drills) now shows to admins only. On a phone, the menu stays the menu when you're on a patient's chart.

    A Drafts tab on SOAP Notes

    SOAP Notes has a Drafts tab: every note started but not signed yet, structured and free-form, in one list. Open one to finish it, or delete it from its row.

    Picked the wrong case for a visit? Change it in the visit's Services until a note is started, and any services already added move with it.

    Archived intake forms stay out of All

    Intake forms' All list shows only forms still in play. Archive a spam or bot submission and it leaves All; it's still under Archived.

    Sign letters with your signature

    Letters made from a template can carry your uploaded signature under the closing. Tick Sign with my signature and it's on the printed, saved, emailed and sent copies.

    Patient links on your own domain

    With your own web address set up, the links your patients get by email and text open on it: documents, statements, invoices, messages, billing and appointment links. Patients sign in on your branded page there.

    Pick which case a visit is for

    When a patient has more than one active case, a visit's Services asks which case it's for before you add services, and shows the case once it's picked.

    Take a payment from anywhere

    Billing & Payments has a Take a payment button, and so does + New on every page. Pick the patient, then take cash, a check or a card.

    Book from a patient's chart

    Anyone who can book appointments now has Book on a patient's chart, and the Dashboard's check-in button says Check in, like the Schedule's.

    Charge a card on open invoices

    Record payment on an invoice, the Receive page and the statement's Receive can charge a card too. Pick Charge a card now, type the card in, and one charge pays the amounts you entered.

    Plainer menu names

    Documents is now Letters & forms, Contact inbox is Website messages, and Email & SMS suppressions is Unsubscribes. The menu uses one style of capitals, and the top of the sidebar says Office Portal.

    One body chart per visit

    The SOAP note's body chart now sits under Chief complaint, one chart for the whole visit however many complaints you pick, instead of inside the first complaint's tab.

    Charge a card from Receive and Pay

    Receive on a patient's chart and Pay on the Patients page can charge a card too. Pick Charge a card now, type the card in, and it is charged through your Stripe account and recorded as paid.

    Charge a card at the visit

    When the card machine is down, Collect payment has Charge a card now: type the card in and it is charged through your Stripe account and applied to the visit. The visit page opened from the dashboard has Collect payment too, like the schedule's day view.

    SOAP Notes opens the same page from everywhere

    The SOAP Notes menu item opens the notes page on its Visits tab, the visits still missing a signed note, wherever you click it. Structured visits and free-form notes are the next two tabs.

    One Patients page

    Patients is one page for everyone, with Add a patient at the top, and old links to All Patients land on it. The sidebar turns into your patient list only on a chart, so you can move from one chart to the next.

    Everyone's home page is the dashboard. Admins find their billing, compliance and possible-duplicate cards there too, the Staff and Admin switch is gone, and old links to the admin dashboard land on it.

    The staff portal's shorter billing pages are gone: everyone with billing access uses the same Payments, Invoices and Statements pages, and old links still land there.

    Texts patients send back now show in the Messages inbox next to portal messages, and a text waiting for a reply counts toward the number on Messages.

    Reports opens the printable reports, with Analytics and the other dashboards as tabs across the top. Marketing is one menu row now, and its tabs include SEO and the media library.

    Auths due shows which authorizations need you

    Click Auths due on either dashboard to see each authorization that is expired, used up or running low, with the payer and the patient's next visit, and record the renewal right there.

    A team member's whole lifecycle on the Team page

    Deactivate someone from their row after a dialog lists what they still hold, bring a rehire back with Reactivate, and see each provider's Ready to see patients list.

    The six-digit code is asked on your own sign-in page

    Staff enter their authenticator code and set their first password on the practice's own sign-in page, without leaving your domain.

    Patients reschedule or cancel inside their portal

    My appointments opens a window to pick a new time or cancel, instead of sending the patient to a separate page.

    Invite your patients to the portal in your practice's name, up to 50 at a time, and follow the Go-live day list on the Setup guide.

    When we move your data for you, upload the exports into your own encrypted folder instead of emailing them. Running a corrected file again never creates duplicates.
